What does it mean to “Book Direct?”

Booking directly with us means skipping Airbnb, VRBO, or any other third-party platform and reserving your property right here at stayhostfolio.com. You’ll pay less (no platform service fees), communicate with us directly, and get our Best Rate Guarantee.

Is it safe to Book Direct?

Absolutely. All payments are processed securely through our booking platform — we never see or store your credit card details. Booking direct actually reduces your risk of scams, since you can verify exactly who we are: search us on Google, check our social media, read our 500+ reviews, or just give us a call.

Can we leave Hostfolio an online review?

We’d love that! After your stay, you can leave us a review on Google, Facebook, Airbnb, or VRBO. Guest reviews are the lifeblood of our business and we’re genuinely grateful for every one. If anything about your stay fell short of expectations, please reach out to us first — we want the chance to make it right.


Payments

When is my first payment due?

A 50% deposit is due at the time of booking to reserve your property. The remaining balance is due 30 days before check-in. For bookings made within 30 days of check-in, full payment is due at booking.

Is a security deposit required?

Yes — a security deposit hold is placed on your credit card one day before arrival. It’s released within 5 business days after checkout, provided there are no damages or excessive cleaning required. We’ve hosted 500+ guests and the vast majority of stays have no issues at all.

Do you recommend Travel Insurance?

We do. Travel insurance protects your investment against unexpected cancellations due to illness, injury, natural disasters, or other covered events. You’ll have the option to add it during checkout.

What taxes will I pay?

Nashville short-term rental guests pay the following taxes, which are included in your booking total:

  • Nashville Sales Tax: 2.25%
  • Nashville Hotel Occupancy Tax: 6% + $2.50/night
  • Tennessee Sales Tax: 7%
Are there any other fees?

We never charge service fees or administrative fees. The only additional cost beyond the nightly rate and taxes is a cleaning fee, which varies by property and is always shown upfront before you book.

Do you offer specials or discounts?

When you book directly with us, you will never pay an OTA markup and administrative fees. That will save you HUNDREDS of dollars in the process! How does saving HUNDREDS of dollars sound as a discount? We thought you’d like that! Extra savings means more time enjoying Nashville.


Policies

What are the house rules?
  • No smoking or vaping inside — a $1,000 smoke abatement fee applies if evidence is found
  • No glitter, confetti, or tape on walls — a $250 cleaning fee applies
  • No pets — unfortunately our properties aren’t set up for furry guests
  • Primary guest must be 21+ and present for the entire stay
  • No third-party rentals — the person signing the rental agreement must be staying at the property
  • Occupancy limits are strictly enforced for fire safety compliance
  • Minors must be accompanied by a parent or legal guardian at all times
What is your cancellation policy?

We offer a flexible cancellation policy:

  • 60+ days before check-in: Full refund (minus $100 admin fee)
  • 30–60 days before check-in: 50% refund (minus $100 admin fee)
  • Less than 30 days: No refund

We’re also happy to work with you on date changes or future credits where possible — just reach out.

What time is check-in and check-out?

Check-in is at 3:00 PM CST and check-out is at 10:00 AM CST. Our cleaning team works on a tight schedule to prepare each home to the highest standard for arriving guests. We do offer early check-in and late checkout for a small fee — just ask us when booking.

What if something goes wrong during my stay?

We’re available throughout your entire stay. For maintenance issues, we’ll respond as quickly as possible. For medical emergencies, please call 911 immediately.

What if I leave something behind?

Contact us as soon as you realize — we’ll hold found items for 30 days and can arrange return shipping at your cost. Items unclaimed after 30 days are donated to a local charity.

What happens if something breaks?

Accidents happen — we get it. If something breaks during your stay, let us know right away. Minor items we typically don’t charge for. For larger items (like a TV), we’ll agree on the repair cost with you before you leave to keep things fair and transparent.


Planning

What amenities are included?

Each property is fully stocked so you can arrive and settle right in:

  • Bedrooms: fresh linens, pillows, and towels
  • Bathrooms: shampoo, conditioner, body wash, hair dryer, hand soap, toilet paper
  • Kitchen: coffee maker with coffee, toaster, blender, pots and pans, full cookware and utensils, dish soap, paper towels, trash bags
  • Throughout: high-speed WiFi, Smart TVs, and everything you need for a comfortable stay

If anything is missing, just text us and we’ll sort it right away.

What should I pack?
  • Personal toiletries (toothbrush, deodorant, etc.)
  • Weather-appropriate clothing
  • Phone and laptop chargers
  • Cowboy boots (optional but highly encouraged)
  • Your best ‘YeeHaw’ energy
When will I get check-in instructions?

We’ll send your check-in instructions (like the house address) 3 days before your arrival. We’ll then send your personalized keypad code an hour before your scheduled check-in time. Smart lock codes change after every guest for your security.

What are the “must sees” in Nashville?

When you book with us, we send you a curated local guidebook with our favorite restaurants, bars, honky-tonks, activities, and hidden gems. It’s the insider knowledge you’d get from a local friend — because that’s exactly what we are.
